Primary Function: Responsible for coordinating with Mortgage Loan Originators (MLOs), vendors, borrowers and management to obtain required documentation and submit complete, accurate and compliant loan package for underwriting review. Maintains control of the loan file, monitors dates and deadlines and proactively resolves issues to ensure efficient processing and closing timelines.
Principal Responsibilities and Duties:
- Review online applications for completeness and communicate missing information or documentation requirements to the appropriate MLO.
- Verify information provided on loan applications including employment, income, down payment deposit, residence, etc.
- Review loan file for completeness of all required documents.
- Prepare Early Disclosures, including changed circumstances, if necessary, perform early and final Qualified Mortgage Rule/Ability-to-Repay check.
- Prepare commitment letter/intent to proceed.
- Order and track third-party services including appraisals, tax transcript, flood determination, title work and other required documentation, ensuring timely receipt and review.
- Prepare pre-underwriting checklist for secondary market loans.
- Review title work, etc. for accuracy; provide required appraisal disclosures to customers; analyze loan-to-value ratios; resubmit loans through systems when necessary; and collaborate with MLOs to resolve issues to facilitate loan approval and closing.
- Submit complete package to underwriting for review, collaborate with underwriting and MLO to clear any exceptions.
- Monitor and manage the mortgage loan pipeline to ensure target dates are not missed.
- Assemble required loan documentation for residential loan closings
- Coordinate all aspects of the loan closing process, ensuring all underwriting conditions, regulatory requirements, and approval terms have been satisfied prior to closing.
- Prepare Preliminary Closing Disclosures.
- Review closing stipulations and title commitment, ensure all required conditions have been met. Delay closing if all required conditions have not been met.
- Request verbal verification of employment.
- Balance loan transactions, prepare and approve closing disclosures with title companies. Ensure closing documents are provided to title agencies prior to closing deadlines.
- Prepare closing instructions and issue mortgage disbursements.
- Complete Customer Identification Program (CIP) and OFAC screening requirements to verify customer identity and ensure compliance with federal regulations.
- Ensure mortgage loan files contain required documentation with proper signatures, dates and all relevant data.
- Responsible for payoffs, incoming funds, processing wires.
- Backup to Senior Secondary Market Coordinator while also providing additional support for loan operations department as needed.
- Prepare modifications and balloon extensions as needed
- Attend training to remain current on all investor, PMI, appraisal, and corporate requirements.
- Evaluate departmental processes and procedures and recommend improvements.
- Comply with all laws, regulations, bank policies and procedures, including specifically Citizens National Bank’s Bank Secrecy Act and Anti-Money Laundering Policy and procedures, and its Customer Identification Program.
- Maintain knowledge of bank products and services and cross sell as appropriate.
- Maintain regular and consistent attendance, personal appearance, punctuality and adherence to applicable health and safety procedures.
- Establish and maintain efficient working relationships with supervisors, co-workers, and customers.
- Identify potential fraud and promptly escalate concerns to the Loan Operations Manager.
- All other duties as assigned.

- Knowledge of mortgage lending and closing processes preferred.
Education and Experience Required:
- High School Diploma
- One to Two years banking experience preferred
- Understanding of mortgage loan products and services
